Phase 1: The Free Consultation
Every project starts with a free consultation. No pitch, no pressure. Just a real conversation about your business, your goals, and what your website needs to do.
We cover the full scope of the project: what pages you need, what you want visitors to do when they arrive, what you like and don't like about your current site if you have one, and what a successful outcome looks like for you. We ask a lot of questions here because understanding your business properly is what separates a website that looks good from one that actually performs.
By the end of the call, we both have a clear picture of what we're building and why.
Phase 2: Onboarding and Scoping
After the consultation, you're onboarded to our custom client portal, SmartClientForge. This is where your entire project lives, from kickoff to launch and beyond.
One thing we've learned is that clients always think of things after the initial call. The portal gives you a dedicated space to add detail to your project brief, update your company profile, and get everything documented before we start building. There's no chasing emails or trying to remember what was said on a call two weeks ago.
From here, we put together a full proposal and quote delivered through the portal so you can review it properly, ask questions, and accept or negotiate directly. Once we're aligned, a deposit invoice is issued and you send over the assets we need: logo files, brand guidelines, copy, photos, and anything else relevant to your site.
Phase 3: Design and Development
This is where the build begins and it's where our process looks a little different from most studios.
Rather than presenting a single design concept and hoping it lands, we create multiple demo sites. Each one is built with a custom architecture developed using AI and then hand-reviewed and edited by us for accuracy, efficiency, and fit with your brand. You get real, working options rather than static mockups.
All demos are made available in your portal as they're refined. You can view them, leave feedback, and track changes in real time. There's no waiting for a weekly update email or wondering where things stand. If you want something adjusted, you request it through the portal and we get it done.
We iterate until the design, copy, and SEO are exactly where they need to be. Nothing moves forward until you're genuinely happy with it.
This phase typically takes the bulk of the project timeline. The average timeline for a custom website development project with us is 2 to 4 weeks, faster if assets arrive quickly and feedback rounds are tight, slightly longer for larger or more complex builds.
Phase 4: Pre-Launch and SEO
Before anything goes live, we run through a full pre-launch checklist covering page speed, mobile responsiveness, cross-browser testing, contact forms, metadata, image optimisation, and on-page SEO.
We don't treat SEO as an afterthought. Every page gets properly structured headings, a clear meta title and description, optimised image alt text, and a clean URL structure. For clients with a blog or content strategy in place, we also make sure the site is set up to support ongoing indexing from day one.
Phase 5: Launch and Beyond
Once everything is approved, the final invoice is issued. On payment, we connect your domain and deploy to either our own hosting infrastructure or your preferred host, whichever suits your setup.
Launch day is straightforward because the work has already been done. There are no last-minute surprises because you've seen and approved every part of the site before it goes live.
After launch, clients on a hosting and maintenance package retain access to the portal to request updates and changes over time. Your site isn't a closed invoice. It's an ongoing asset and we stay available to keep it running well.
What Affects Your Timeline
The two biggest factors are asset delivery and feedback speed. Projects where clients send over copy, images, and brand files quickly and give clear, consolidated feedback on demos consistently finish at the shorter end of the timeline. Projects where assets trickle in over several weeks naturally take longer.
